Position Overview

We are seeking a dynamic and personable Receptionist to join our client’s vibrant design company. As the first point of contact for clients, visitors, and team members, you will play a crucial role in creating a positive and welcoming atmosphere. If you are organized, possess excellent communication skills, and thrive in a fast-paced environment, we encourage you to apply.

Responsibilities:

  1. Front Desk Management:
    • Greet and assist visitors, clients, and employees with a friendly and professional demeanor.
    • Manage incoming calls, redirecting them to the appropriate department or individual.
    • Maintain a tidy and organized reception area to reflect our company's commitment to excellence.
  2. Administrative Support:
    • Handle incoming and outgoing mail and packages.
    • Assist with scheduling and coordinating meetings, appointments, and conference room bookings.
    • Provide general administrative support to various departments as needed.

  3. Communication:
    • Effectively communicate with internal teams to relay important information and updates.
    • Notify employees of visitor arrivals and ensure they receive prompt assistance.

  4. Customer Service:
    • Address inquiries from clients and visitors, providing accurate information and excellent customer service.
    • Handle client relations with tact and professionalism.

  5. Office Operations:
    • Manage office supplies, placing orders as needed and maintaining inventory.
    • Assist in coordinating office events and activities.

Requirements:

  1. Professionalism: A polished and professional appearance with a warm and welcoming demeanor.
  2. Communication Skills: Excellent verbal and written communication skills, with a keen attention to detail.
  3. Organization: Strong organizational and multitasking abilities in a busy and dynamic work environment.
  4. Tech-Savvy: Proficient in using standard office software and equipment; experience with phone systems and basic office machinery.
  5. Problem-Solving: Ability to handle unexpected situations with a calm and resourceful approach.
  6. Team Player: Collaborative mindset with the ability to work seamlessly with different departments.
  7. Previous Experience: Prior experience as a receptionist or in a customer-facing role is preferred.
